Every empty slot on your calendar is time you already paid for. Your staff showed up, the room was ready, and the client didn't. For clinics, salons, consultants and coaches, no-shows are one of the most common and most fixable leaks in the business.
The good news: most no-shows are not people who don't care. They forgot, they got busy, or they didn't feel committed enough to show up. A good reminder system solves all three, and once it's set up, it runs on its own.
Why clients don't show up
Before fixing it, it helps to know what you're fixing. Most no-shows come from one of these:
They forgot. The booking was made two weeks ago and life happened.
They weren't sure about the details. Wrong time zone, unclear address, no link for the online call.
It was too easy to skip. Nothing was paid, nothing was confirmed, and there was no easy way to reschedule, so they just didn't come.
They booked on impulse. A late-night booking from an ad, with no follow-up to build interest before the day.
Each of these has a matching fix.
The reminder sequence that works
Think of it as a short sequence, not a single message. Here's a simple setup that works for most service businesses:
1. Instant confirmation (right after booking)
Send an email with the date, time (in the client's time zone), location or meeting link, and what to prepare. This is where you answer questions before they become reasons to cancel.
2. Value reminder (2 to 3 days before)
Don't just repeat the time. Remind them why they booked: "Here's what we'll cover in your session" or "Bring these two things so we can get the most done." This rebuilds commitment for people who booked on impulse.
3. Day-before reminder (24 hours before)
Short and clear. Time, place, and a one-click link to reschedule if they can't make it.
4. Final nudge (1 to 2 hours before)
An SMS works best here, because people read texts quickly. One line: "See you at 3:00 PM today. Here's the link."
5. Missed-appointment follow-up (if they don't show)
Don't treat a no-show as a lost client. An automatic, friendly message — "We missed you today, here's a link to pick a new time" — wins back a good share of them.
Make rescheduling easy (yes, really)
Many business owners hide the reschedule option, hoping it keeps people from canceling. It does the opposite. A client who can't easily move their appointment will usually just not show up. A client who can reschedule in two clicks gives you the slot back early, so you can fill it.
Put a reschedule link in every reminder.
Ask for a deposit or prepayment
For higher-value services, taking a small deposit or full payment at booking changes behavior more than any reminder can. People show up to things they've paid for. If your booking page can take payment at the time of booking, use it for your premium services first and see the difference.
Use the right channel for each message
Email for details: confirmations, preparation notes, links.
SMS for urgency: the final reminder on the day.
Calendar invite so the booking sits in their own calendar with its own alert.
Using all three means one of them almost always gets noticed.
Track it so you know it's working
Before you change anything, write down your current no-show rate for the last month: missed appointments divided by total booked. After a month with automated reminders, check again. This simple number tells you if the system is paying for itself.
Set it up once, let it run
The whole point is that you shouldn't be sending these by hand. A booking system with built-in email and SMS automation sends every message on time, for every client, even while you're busy with the client in front of you.
