Most coaches and consultants don't have a lead problem. They have a gap problem. Someone watches your content, sends a DM or fills in a form, and then... nothing happens for a day or two. By the time you reply, they've moved on, booked with someone else, or simply forgotten why they reached out.
The fix isn't posting more. It's building a short, automatic path from "interested" to "booked on your calendar" that works even when you're in a session, travelling or asleep.
Where coaches and consultants lose leads
Before setting anything up, look at where people drop off. The common leaks are:
Slow replies. A lead who waits 24 hours is much colder than one who gets an answer in five minutes.
Back-and-forth scheduling. "Does Tuesday work? What about Thursday?" Every extra message is a chance to lose them.
No qualification. You spend discovery calls with people who were never a fit for your offer or budget.
No follow-up. Someone books, doesn't show, and is never contacted again.
The automated path, step by step
Here is a simple setup that works for most coaching and consulting practices:
1. One clear call to action everywhere
Your social bio, your content, your emails and your website should all point to the same next step: "Book a free discovery call" or "Take the 2-minute assessment." One link, one action.
2. A short qualifying form
Before the calendar, ask 3 to 5 questions: what they want help with, where they are now, their timeline and their budget range. This filters out poor fits and gives you context before the call.
3. A booking page with your real availability
Let people pick a time themselves, in their own time zone. No back-and-forth. Add buffer time so calls don't stack up.
4. Instant confirmation and a short prep email
Right after booking, send the meeting link, what to expect and one thing to think about before the call. This builds commitment and makes your call better.
5. Reminders before the call
One email the day before and one SMS an hour before. (We cover timing in detail in our guide on how to reduce no-shows with automated reminders.)
6. Follow-up after the call
If they say yes, send the proposal or payment link automatically. If they're not ready, add them to a short nurture sequence so you stay in touch without chasing.
What about people who DM you?
Many coaches and consultants get most of their leads through Instagram, Facebook or LinkedIn messages. You don't have to stop replying personally, but you can make your replies faster and more consistent:
Save a short reply that sends your booking or assessment link.
Tag each lead in your CRM so you know where they came from.
If they don't book within a day or two, a friendly automatic follow-up does the nudging for you.
Keep everything in one place
This path only works if the pieces talk to each other: the form, the calendar, the CRM, the emails and the payment link. When they live in five separate tools, leads fall through the gaps. Read more on why separate tools cost more than one connected system.
Measure the numbers that matter
Track three numbers each month: how many people visited your booking page, how many booked a call, and how many became clients. If lots of people visit but few book, simplify the page. If lots book but few buy, look at your call or your offer.
